WizFolio
How is WizFolio different from other reference managers?
Most of the features in other reference managers can be found in WizFolio. Uncompromising quality and great ease of use are the distinctive qualities of WizFolio.

More importantly, WizFolio allows you to upload files to create your own online library. Sharing of bibliographic data and files is as easy as a drag and drop.

Besides the usual functionalities, WizFolio contains unique features like "Import from Clipboard", generating bibliographic data from PDFs, and "Locate PDF" which are not found in most reference managers.

Which browsers does WizFolio support?
Supported: IE 7, Firefox 3.6 and above, Safari 3 & above, Chrome 2 & above
Not Supported: IE6, Opera

We recommend using either Firefox or Chrome.
Because of the security settings on IE, some of the functionalities on WizFolio may not be as convenient to use.

How do I import references from databases like Pubmed, Scopus, etc?
If you want to search in Amazon Books and Pubmed, you can use WizFolio's integrated search engine.

For other databases like Scopus, IEEE and more, you can use our WizAdd plugin to import references directly from databases. Click here for more details.
Why can't I edit or insert keywords for my item?
Keywords are supplied by the original article, therefore there is no input box for keywords in the edit mode. You can manually enter your keywords as tags instead. Tags and keywords behave the same way for the purpose of filtering and retrieval.
How can I organize my data?
In WizFolio, you can organize your collection in four ways:
  1. Folders
    Your items can be easily organised by dragging and dropping selected items into predefined folders. To use folders, click here.
  2. Flags
    Items can be organised across folders by the use of flags. Multiple items can be flagged at the same time and the name of the flags can be customized. To use flags, click here.
  3. Tags
    The number of flags available is limited compared to tags which can be created on the fly. To insert tags: Click on the Tags icon found on the lower screen of the Bibliography Panel (the panel on the outer right).
  4. Filters (Find)
    Filters can be used to find all entries with specific keywords in specific folders or in your entire collection.
What is the difference between Item File and Attached Files?
The bibliographic data specifies the content of the Item File. As such only one Item File can be associated with one set of bibliographic data. On the other hand, Attached Files are files you want to associate with the Item File. It is possible to associate several files as attachments to one set of bibliographic data.
For example, a publisher may provide supplementary data/files relating to a publication which you may wish to attach as Attached Files.
Why can't I copy and paste references from a PDF article?
There are two reasons it does not work:
  1. The PDF was set by the publisher to prevent copying into clipboard. Attempts to copy to clipboard will result in one of the following scenarios:
    1. Unable to copy (i.e., nothing will appear in the textbox)
    2. Copying to clipboard produce garbled characters
    Under these circumstances there is not much you can do except typing out the bibliography references manually as the publisher has blocked the copy and paste function.

  2. When copying references into clipboard, more than one column is copied. Therefore the solution is to copy one column at a time.
Why can’t I open a PDF in my web browser?
If you are not able to open PDF inside a web browser, this may be related to your Acrobat settings. You may want to consider changing the settings to see if it solves your problem. Here are the steps on how to change the settings in Acrobat Reader/Pro 9.0 to allow viewing of PDFs in a web browser:
  1. Open Acrobat Reader 9.0 or Acrobat 9 Pro.
  2. Select Edit -> Preferences.
  3. On the left Panel choose the Internet option.
  4. On the Right side, check "Display PDF in browser".
  5. Click OK.
What is "My Collections", "My Publications" and "Publicly Shared Collections"?
  • "My Collections" is for you to organize your items such as research papers, books, videos, snippets of webpages, etc. The items in the folders are visible only to you. However you can selectively share folders in "My Collections" with your colleagues.
  • "My Publications" is for you to organize items such as research papers that you have authored or co-authored. All your colleagues will have access to these items under the colleague panel in their WizFolio account. Items in "My Publications" will be automatically displayed in your Profile Page by default. To change the default settings, go to My WizFolio -> Settings -> "Profile Page Sharing Permission" to change the setting.
  • "Publicly Shared Collections" are lists of references that you have curated and wish to share with the public. The lists are organized inside your WizFolio account and automatically displayed on your Profile Page.
    Note that within "Publicly Shared Collections" itself, only one level of folder can be created. i.e.: Publicly Shared Collections -> Nanomedicine but users are not allowed to create a subfolder within Nanomedicine.
    In addition, "Publicly Shared Collections" is not synchronized to any other folders in your WizFolio account.
Why am I unable to "Upload Files"?
You should be able to use the "Upload Files(s)" button to mass upload your documents into WizFolio. The "Upload Files(s)" button uses Flash 10 technology. You may be using an earlier version of Flash Player. Download the latest Flash here.

Please note that accessing WizFolio via your university VPN proxy server may interfere with the file upload. Try disabling your VPN and uploading your files again.

There may be some cases when the Adobe Flash Player plug-in does not work properly and you are unable to upload PDF. This is a known issue with the Flash Player. It happens intermittently and seems to affect Firefox more than other browsers.

In such cases, you can choose to:
  1. Upload the PDFs in the same browser at a later interval
  2. Upload your PDFs using a different browser, for example, using Google Chrome
  3. Re-install the Adobe Flash Player plug-in
Why can't I view my uploaded files or export my RIS file?
Please check that your pop-up blocker does not block WizFolio.

To download your item, the following settings are required for these specific browsers:
  • For Internet Explorer (IE)
    Select Tools -> Internet Options -> Security -> Select Internet icon -> Custom Level -> Scroll down to Downloads section:
    • Select Enable for "Automatic Prompting for file downloads"
    • Select Enable for "File download"
    Click Ok.
  • For Chrome
    Click on Notification icon (displayed on the right of the Address Bar) -> Always allow pop-ups from *.wizfolio.com.
  • For Safari
    Go to Tools (the Gear icon) -> Preferences -> Security -> uncheck Block pop-up windows.
  • For FireFox
    If you have Zotero on Firefox, it will auto-import your RIS file into its collections and prevent you from downloading the file into your desktop. You may disabled that feature by:
    Open Zotero -> Open Preferences -> Select General tab -> Uncheck "Use Zotero for downloaded RIS/Refer files" -> Click OK.
Why can't I unshare my subfolders?
The subfolder inherits the share properties of the parent folder. Therefore the share properties of the subfolder cannot be changed if the parent folder is already shared. On the same principle, if a subfolder is shared with a colleague, the shared property will be changed when the parent folder is shared.
What is an RIS file?
RIS is a standardized file format used by many reference management software and reference databases to exchange data. The RIS file format -- two letters, two spaces and a dash (e.g. TY - ) -- is a tagged format for expressing bibliographic citations. WizFolio simplifies the process of RIS import by automatically abstracting the information from your RIS file into the right fields. However please note that some reference management software do not follow the conventions of RIS File Format, leading to incorrect mapping of data.
Can I export my collections to a BibTeX format?
Yes. Inside WizFolio you can either:
  1. Right-click a folder -> Export as BibTeX file
  2. Select items in a folder -> Export button at the top of the Item Panel (the middle panel) -> Export to BibTeX
What is an "Recycle Bin"?
Typically "Recycle Bin" are items that you have deleted from your collection and are no longer within any of your folders. You can drag and drop items from the "Recycle Bin" folder back into any of your folders if you still require them.

Note: If you delete an item from the "Recycle Bin" folder, it will be permanently deleted from your collection.

Also, if you use WizCite to edit the bibliographic information of references cited by your colleague, we will store a copy of the edited reference in your "Recycle Bin" folder. You can also drag and drop the edited reference to any of your folders.
How does WizFolio handle duplicate items?
WizFolio has an automatic duplicate check based on Title + Number of Authors + Sequence of Author’s Last Names. If a duplicate based on the above rule is found, conflicting values in different fields will be displayed for user to decide which values to use.

For example if the Abstract field is empty and the new item has data in the Abstract field, then the data from the new item will be inserted into the existing item. In cases where we find two similar items having different bibliographic data, we will display the conflicting bibliographic data to you and you can choose which bibliographic data to keep.
How does locate PDF work?
If your library has a subscription to the selected journal and your library uses a link resolver (for example, SFX or SerialSolutions 360LINK), WizFolio will redirect you to the publisher's page, where you can directly download the full text.

However, if your library is not listed in WizFolio, or does not subscribe to the journal, "Locate PDF" will attempt to bring you to the page closest to the full text. For the major open access publishers, WizFolio will attempt to retrieve and display the PDF automatically in your browser.
What can I do if my institutional library is not in WizFolio’s library linkage list?
The only thing you will not be able to do is to Locate PDF of library subscribed articles. However, you can still Locate PDF of open access (free) articles.

Please ask your librarian to contact us at techsupport@wizfolio.com. We will work with them to add your institutional library to our list.

In the meantime:
  1. Log into your institution’s library and access your databases such as Ebscohost, Wiley Interscience.
  2. Download the PDF itself into your desktop.
  3. Use WizAdd to add the bibliographic data of that item into your WizFolio collection.
  4. Go to your WizFolio account, and click Add found in the (middle) Item Panel. Select Upload File(s) to upload the PDF from your desktop to your WizFolio folder.
  5. In this way, you can access the item from any computer, share the PDFs and also cite the article via WizCite.
Which languages does WizFolio support, and how do I change my language settings?
WizFolio currently supports:
  • English
  • French (Canadian)
  • Chinese (Simplified)
  • Chinese (Traditional)
  • Japanese
  • Korean
  • Thai

You can select your language preference in the following manner:
  1. Login to WizFolio
  2. Click on Settings at the top right hand corner of the screen
  3. Under Language, select your desired language from the drop down menu
  4. Click on Update and close the Settings window
  5. Refresh your browser
Why doesn't the export RIS, BibTeX function work?
Please check that your pop-up blocker does not block WizFolio.

To download your item, the following settings are required for these specific browsers:

Why do I keep getting the following message: "Do you want to view only the webpage content that was delivered securely?"
Internet Explorer (IE) by default prompts the user with the above message when the user is viewing mixed contents from both http and https websites.
To remove the message, from the Toolbar select Tools -> Internet Options -> Security tab -> Internet icon -> Custom level -> Scroll down to Miscellaneous section -> Enable "Display mixed content".
Why doesn’t WizFolio page display properly in Internet Explorer?
Some users have encountered certain difficulties in viewing the WizFolio Home page on Internet Explorer 8. To rectify the issue, click on Tools and select Compatibility View. You can also switch on the compatibility view from the icon next to the address bar.
How do I share items in WizFolio?
You can share references and your publications with colleagues in the "My Colleagues" Panel in "My WizFolio", or with the general public on your Profile Page.

  2. Sharing with the Public on your Profile Page
    There are 3 ways to create a Publicly Shared Collection:
    • Right click on the folder you wish to share and click on
    • Drag and drop a folder into
    • Right Click on and click on

    Note:
    1. If you are creating a new Publicly Shared Collection from an existing folder, items in the sub-folder can be copied into, or excluded from the list.
    2. Allowing subscription enables other WizFolio users to receive notifications when there are additions to your lists.

Why can't I view a PDF inside WizFolio (Google Chrome browser) ?
This is a recurring problem with Chrome that exists on WizFolio and other websites. You can disable the Chrome PDF Viewer and use Adobe Reader by following the below steps:
  1. Type "about:plugins" in the address bar (without the quotes)
  2. Hit "Enter"
  3. Disbale "Chrome PDF Viewer"
  4. Enable "Adobe Reader"
How do I backup my account?
  • In the "My WizFolio" page, go to Settings. At the bottom of the page click on Go to Backup Page.
  • The backup request will be processed and you will receive an email with download link once the package is available for download.
  • Your Backup Package is a zip file containing all your bibliographic data and uploaded files. The bibliographic data in RIS format are organized in the same folder structure as your current account. The uploaded files are in a separate folder.
  • This is not an incremental backup. Each download is a complete backup of all your data. You are limited to one backup every 30 days. Alternatively you can export the bibliographic data from a specific folder as an RIS file anytime.
How do I close an my account?
You need to do two things before we close your account.
  1. Login to your account and delete:
    • All your items in the All Item folder and
    • All your colleagues from the My Colleague bar.
  2. Go to Settings and uncheck profile Page Sharing Permission
To confirm that you have control over the account that you want to close, login to your account and use the Feedback button (at top right of your "My WizFolio" page) and send us a message saying that you want to close the account. We will sent an email to the current email address in your WizFolio account confirming that the account has been deactivated. Please include another email address in the Feedback form if the current email address in your WizFolio account is not active.
